Our client is seeking to recruit for a Accounts Executive and Office Administrator to support theit finance and administrative functions. The ideal candidate will assist with day- to-day accounting tasks while managing office operations and ensuring smooth administrative support for various departments.
Duties include:
- Process and record daily transactions, including accounts payable and receivable
- Reconcile bank statements, credit cards, and other financial records
- Assist in preparing monthly, quarterly, and annual financial reports
- Manage invoicing, payments, and collections from clients
- Maintain accurate and up-to-date records of financial documents
- Monitor expenses and assist in budget preparation
- Liaise with vendors, suppliers, and clients regarding billing inquiries
- Oversee daily office operations and ensure the smooth functioning of administrative tasks Coordinate and schedule meetings
- Answer phone calls and emails, providing general office support
- Maintain filing systems (both electronic and physical) for office records and documents
- Manage office supplies and ensure stock levels are maintained
- Assist with preparing documents for meetings, presentations, and reports
- Prepare and process internal documents, including contracts, invoices, and purchase orders
- Maintain communication between departments to ensure smooth workflow
- Provide general support to the HR and Operations departments as required
Requirements
- Minimum of 2 years’ experience in accounting, office administration, or a related field
- Strong proficiency in accounting software (Sage) and MS Office Suite (Excel, Word, Outlook)
- Knowledge of local accounting standards, VAT, and tax regulations
- Effective communication skills in English and Maltese (both verbal and written)
- Excellent organizational and multitasking skills
Education and Experience
- A qualification in accounting or finance (ACCA, or similar) is preferred
