Administration Support Officer

  South of Malta  |  €24,000 - €29,000 Annually 

Our client in the Pharmaceutical Industry is seeking an Administrator Support Officer to join their team.

Responsibilities

  • Perform financial postings and basic bookkeeping tasks
  • Manage petty cash, including recording and reconciliation
  • Liaise with suppliers for orders, deliveries and invoice follow-up
  • Supervise and be the point of contact for cleaning staff
  • Create and manage rosters for cleaning staff
  • Handle purchasing of office stationery and supplies
  • Coordinate and book flights for staff and guests as required
  • Order and arrange catering/food for guests and meetings
  • Perform telephone and front desk reception duties, including greeting visitors and handling inquiries
  • Re-ordering of consumables such as canteen supplies, uniforms and stationery
  • Other ad hoc tasks as needed from time to time

Requirements

  • A minimum education level of Advanced Level (‘A’ Level) standard.
  • A practical understanding of basic bookkeeping principles.
  • Strong oral and written communication skills in both English and Maltese.
  • Proficient in computer use, with a good command of Microsoft Office applications.
  • At least 2 years of experience in a similar administrative role.
  • Self-motivated with a strong eye for detail.
  • Results-driven and aligned with the company’s core values.
  • Capable of working both independently and collaboratively within a team.
  • Skilled at multitasking and prioritising to meet deadlines efficiently.
  • Confident, proactive, and professional in their approach to work.
  • Highly organised and dependable.
