A well-established consultancy firm is searching to recruit an Administrative Executive within their tight knit team. The chosen candidate will oversee, coordinate and control all aspects of Administration and provide personal assistance to the CEO.
Responsibilities:
- Managing the administrative aspects of the Company, including payments and deposits to the bank, issuing invoices, recording sales & expenses, monthly sales reconciliation, preparing reports, coordinating insurances and and managing personnel with office practices such as leave, travel authorisations, sick leave, etc.
- Managing the CEO’s diary, work-related agenda and travel
- Organizing and scheduling all meetings and appointments
- Planning company travel
- Attending meetings with the CEO (where essential), making notes/minutes and ensuring follow-up
- Ensuring that other BUs and all personnel consistently update essential information o
- Overseeing the Outreach, Training and Quality functions
- Working with online tools and social media channels
- Overseeing market research (to support marketing decisions, important to the various Business Units)
Requirements
- Candidates must be fluent in both Maltese AND English
- Strong organizational and coordination skills
- Ability to manage multiple tasks, work independently as wlel as within a team, and prioritize effectively
- Great level of creativity and self-motivated
- Proficiency in Microsoft Office suite (Outlook, Word, Excel, etc)
- Structured, attentive to detail and mature
- Valid driving licence
Education and Experience
- A Level Standard of Education
- Minimum of 2 years prior administrative/PA experience is mandatory
- Candidates with experience working with or in an ISO certified environment are highly desired
