Administrative Assistant - Interim Support for Asylum and Reception Cooperation and Guidance Unit (ARCU)

Location: EUAA HQ, Valletta Waterfront

Tentative start date: 14.04.2025, with a probationary period of 6 months.

Salary Category III - Gross monthly: EUR 3,062.39

Job Description

The Administrative Assistant will be performing the following tasks within the Asylum and Reception Cooperation and Guidance Unit (ARCU):

  • Acting as Data entry assistant (DEA): collecting information from reimbursement forms and entering then into the reimbursement tables as well as in the respective administrative tools
  • Acting as Operating Initiating Agent (OIA): initiating administrative workflows for reimbursement of participants and experts
  • Administrative support in organizing event, meetings and workshops: registration forms, attendance sheets, evaluations, etc
  • Administrative support in handling requests for translation of documents and follow up on quality review and publications
  • File and archive documents.
  • Perform ad hoc tasks assigned by the Head of ARCU.
  • Act as backup to administrative colleagues in the Unit
  • Keeping up to date reimbursement monitoring tables
  • Monitoring the functional mailboxes, responding to queries as necessary.
  • Support in administrative, financial, contract management related tasks.

Minimum qualifications

  • Post-secondary education attested by a diploma,

OR

  • Secondary education attested by a diploma giving access to post-secondary education and appropriate professional experience of at least one year.

Minimum Experience

  • Minimum 1 year of appropriate professional experience in an administrative function or equivalent.

General Requirements

  • English – B2 Level
  • Excellent use of MS Excel and MS Word;
  • Good knowledge of ICT tools or ability to learn fast.

Non-resident rate: Non-Maltese employees who are moving to Malta for the purposes of employment will be subject to "Non-resident" tax rates for the first 183 days from arrival – these are higher than the standard rates. Once 183 days of residence are reached, income tax will be recalculated for the entire period of employment in the current year from arrival in Malta, and the tax will be adjusted to recover any overpaid tax. If the 183-day period extends into the following year, and 183 days of residence in Malta are not accumulated, the overpaid tax will need to be claimed back from the authorities with personal income tax return.
