Administrative Assistant - Interim Support

Location: Trident

Tentative start date: 01/03/2025, with a probationary period of 6 months.

Salary Category III - Gross monthly: 3,062.39 Euros.

Department: C2/TLRS.

Job Description

The Administrative Assistant will be working in the Training and Learning Research and Analysis sector (TLRS) in the EUAA’s Training and Professional Development Centre.  

The Administrative Assistant will be responsible for a combination of the following tasks:

  • Provide general support to the sector, including the activities under data management, research and training needs analysis. 
  • Support the analysis and ongoing monitoring and periodic review of training-related qualitative and quantitative data, including the preparation of files, meetings, drafting templates and reports.
  • Assist in the development of training needs assessments in both Member States and third countries  
  • Set up and maintain databases, contact lists, archiving systems and functional mailboxes
  • Support the preparation of draft templates, terms of reference, and any other procurement documents
  • Support the liaison with internal EUAA teams and external stakeholders as necessary
  • Carry out any other relevant tasks, in the interest of the service, as requested by the Head of Sector

Minimum Requirements

  • A level of education that corresponds to post-secondary education attested by a diploma or a level of education that corresponds to a secondary education attested by a diploma giving access to post-secondary education 
  • Appropriate professional experience of 3 years

General Requirements

Essential 

  • Proven professional experience of at least 3 years in the processing qualitative and quantitative data and information using Microsoft Excel
  • Proven professional experience in drafting high-quality reports, notes and other written deliverables in a timely manner 
  • Proven professional experience in drafting internal administrative files/notes and reports, etc.
  • Proven professional experience in preparation of meetings, drafting templates, minutes and reports; 
  • Proven professional experience in an international and multicultural environment

Advantageous

  • A level of education which corresponds to completed university studies of at least 3 years in a legal or scientific domain
  • Previous experience in research institutions/bodies
  • A qualification or advanced certificate such as the International/European Computer Driving Licence (ICDL/ECDL) 
  • Professional experience in cooperating with Member States’ authorities, EU bodies, international organisations or civil society organisations
  • Knowledge of the Common European Asylum System (CEAS) and/or international asylum law
