Office Manager

  Central Malta  |  €33,000 - €35,000 Annually 

Our client is seeking an Office Manager to play a key role in delivering value-added services to clients and supporting their business growth. The role will involve the following responsibilities:

  • Serve as the primary point of contact for office management tasks, including maintenance, mailing, supplies, equipment, and accounts payable
  • Organize office layouts and order necessary stationery and equipment
  • Oversee office conditions and arrange repairs as needed
  • Collaborate with HR for onboarding new employees
  • Streamline office operations and procedures alongside the Business Unit Head
  • Coordinate with the IT department on office equipment and provide first-level IT support
  • Process payments for third-party service providers
  • Manage the office budget and address employee queries regarding office management
  • Plan and coordinate in-house and off-site activities
  • Serve as the site Safe Custody Officer
  • Handle client funds payments
  • Provide backup support for the Corporate Services Team, including tasks like payments, board packs, and client meetings
  • Organize client visits, including meeting room bookings, hotel and taxi arrangements, and catering
  • Manage archiving and filing systems
  • Assist with pre-bills, credit control, and invoicing
  • Implement and maintain controls relevant to the role to ensure compliance

Education and Experience

  • Fluency in English (written and spoken) and Maltese
  • Two years of experience in administrative, office management, or a similar role
