Our client who operates in waste reduction, recycling, circular economy initiatives, and sustainable resourcing is looking for a receptionist.
The Receptionist will be responsible for the following:
- Coordinate with the Collection Service Provider to ensure smooth manual collections from Hotels, Restaurants, and Catering Establishments, addressing any operational challenges as they arise.
- Maintain visitor records and track staff attendance to ensure accurate documentation.
- Supervise cleaning services within the Administration Block, ensuring that shared spaces like the Canteen, restrooms, and showers are properly maintained.
- Manage the Helpline by responding to incoming calls, resolving queries when possible (first-level support), or directing them to the appropriate department for further assistance (second-level support).
- Schedule and oversee the availability of Administrative Block facilities, including the Training Room, Meeting Room, and Board Room for meetings and events.
- Organize and facilitate Board meetings as well as visits from the Board of Directors.
- Provide direct executive assistance to the CEO, COO, and CFO, supporting their daily tasks and requirements.
- Handle all aspects of mail distribution, including sorting incoming correspondence and managing outgoing mail as requested.
- Perform administrative duties as required to support the overall efficiency of office operations.
- Arrange business travel for company staff as needed.
- Ensure the proper upkeep and functionality of office equipment, particularly leased devices, and schedule maintenance as necessary.
- Monitor office supply levels and place orders upon receiving necessary approvals.
- Work closely with key stakeholders to coordinate visitor arrangements at the Plant, including educational visits from local schools.
- Assist customers by handling and escalating urgent issues that require immediate resolution..

Requirements
- Demonstrated experience in an administrative, receptionist, or comparable position.
- Proficient in both written and spoken Maltese and English.
- In-depth understanding of office processes and practices.
- Familiarity with office management tools such as MS Office (including Outlook 365, Excel, and Word) is essential.
- Exceptional organisational abilities coupled with a solution-oriented mindset.
- High attention to detail and accuracy.
- A minimum of a tertiary-level qualification is required; additional certifications or qualifications in office administration are highly desirable.
- Well organised & Possess the ability to present themselves with professionalism and confidence
Education and Experience
- Knowledge of a CRM system is considered as an asset
