Coordination and Planning Officer - interim support EUOS

Tentative start date: 01.04.2025, with a probationary period of 6 months.

Job Description
Key Responsibilities:
- Project Coordination and Administrative Support: Provide comprehensive coordination and administrative support for the Sector, ensuring the smooth execution of project timelines, activities, and deliverables. Act as the main focal point for Sector-related support under the direct guidance of the Head of Sector, proactively addressing priorities and ensuring alignment with operational goals.
- Strategic Planning and Support: Assist the Head of Sector in the strategic planning and management of Sector activities, including coordinating meetings, mission arrangements, and logistics. Ensure that all administrative tasks, such as processing claims and supporting calendar management, adhere to policies, timelines, and objectives.
- Facilitate Project Execution: Organize, schedule, and facilitate the preparation and execution of Sector-related meetings, workshops, and activities. Manage the compilation of essential project documents, ensuring coordination across various teams and meeting deadlines efficiently.
- Document Preparation and Reporting: Draft and prepare detailed documents, reports, meeting minutes, and templates. Ensure that documentation is comprehensive and supports the successful completion of Sector deliverables, maintaining a high standard of quality and accuracy.
- Record Management and Internal Tools: Oversee and maintain effective record-keeping systems, including the development and use of internal tools and databases. Ensure seamless operations through the systematic organization and archiving of Sector correspondence, reports, and other essential documents.
- Stakeholder Engagement and Networking: Build and maintain strong relationships with key project stakeholders within and outside the organization. Facilitate communication and collaboration between teams, ensuring project progress and addressing operational needs.
- Cross-Functional Coordination: Support the Head of Sector, coordinators, and team leaders by managing cross-functional coordination within the Sector. Ensure alignment across internal teams, external partners, and stakeholders to support the timely execution of projects.
- Operational Support and Business Continuity: Provide back-up support for colleagues within the Sector, ensuring continuity of operations. Take on additional Sector-related tasks as needed to contribute to the successful completion.
Minimum requirement
- A completed university studies of at least three years attested by a diploma;
- Proven experience of at least 2 years in supporting operations
- Thorough Knowledge of English (level C1 in all dimensions as per the Common European Framework of Reference for Languages or CEFRL);
- Computer literacy, including MS Office Suite, use of internet and web-based applications;
Advantageous criteria
- University degree in the field of law, political, humanitarian, social studies
- Previous professional experience in a similar position of at least 2 years
- Knowledge of Common European Asylum System – CEAS
- Professional experience in working in an international environment
Required skills and competencies
- Demonstrated experience in project support and administrative coordination
- Proficiency in scheduling, organization, and records management tools
- Excellent written and verbal communication skills tailored to project documentation and reporting
- Strong organizational and multitasking skills with acute attention to details
- Proven ability to collaborate effectively, build strong project networks, and support project delivery

Non-resident rate: Non-Maltese employees who are moving to Malta for the purposes of employment will be subject to "Non-resident" tax rates for the first 183 days from arrival – these are higher than the standard rates. Once 183 days of residence are reached, income tax will be recalculated for the entire period of employment in the current year from arrival in Malta, and the tax will be adjusted to recover any overpaid tax. If the 183-day period extends into the following year, and 183 days of residence in Malta are not accumulated, the overpaid tax will need to be claimed back from the authorities with personal income tax return.
