Job Description
The ICT and Logistics Officer – interim support will be working in the Cluster1 AdminTeam and coordinate the logistics and inventory/assets-related activities in the EUAA country operations.
Responsibilities
- Analyse the operational needs and coordinate logistical arrangements for delivery or pickup of materials incl. prepare documents, shipping orders, etc
- Provide guidance and technical advice on established processes and ensuring the availability of asset
- Developing and maintaining asset database in coordination with asset contract management
- Collaborate with ICT and central logistic department as necessary to meet logistical needs and ensure logistics preparedness incl. preparing contingency planning to ensure smooth functioning of operational activities
- Support developing processes and tools, such as plans, schedules, reports to ensure logistical needs are met and improve tracking and reporting of materials or asset inventory
- Take care of the administrative and finance activities of the team (e.g. payments, purchase orders, budget monitoring) and process financial transactions, making sure all financial processes are managed in line with EUAA financial rules and sound financial management
- Develop processes and technical tools, such as plans, schedules, and responsibility to ensure logistical needs are met and improved tracking and reporting of materials, storage or inventory and report issues, such as damages, shortages, or nonconformance to specifications
- Gather and consolidate feedback on the assigned activities in order to identify issues and/or make recommendations
- Monitor availability and allocation of materials and equipment in close collaboration with ICT department
- Monitor shipments and check with records, invoices, or orders, to verify accuracy and ensure that the quality of all services provided meets the required standards
- Maintain inventory, perform quality control and support the management of office materials
- Perform any other duties in the interest of the service
Minimum requirements
- A completed university studies of at least three years attested by a diploma;
- At least three years of relevant work experience in line with the main tasks described above;
- Proven professional experience in asset management;
- Meet the character requirements for the duties involved;
- Thorough Knowledge of English (level C1 in all dimensions as per the Common European Framework of Reference for Languages or CEFRL);
- Computer literacy, including MS Office Suite, use of internet and web-based applications;
Advantageous
- University degree in Logistics
- University degree in ICT
- Proven experience in controlling repository of ICT equipments
- Experience and knowledge of projects/programmes development, management and implementation.
- Previous experience working in an EU body or knowledge of the EU financial procedures and workflows shall be an advantage.
- Proficiency in other European languages.
