The Project Management Administrator (PMA) will be instrumental in supporting the Project Management department, working closely with the Assistant Manager to manage the day-to-day activities of various projects to ensure timely completion within budget and quality standards. The PMA will also be responsible for updating the project management CRM system, Central Link, where all project details are maintained.
The PMA will provide administrative and project management support to both the Assistant Manager and the Project Management team, with responsibilities including:
- Assisting in the planning, execution, and tracking of projects.
- Updating the Central Link CRM with project management data.
- Collecting risks and issues identified by project teams.
- Analyzing and assessing lessons learned from completed projects.
- Coordinating specific assigned projects.
- Aid in defining project deliverables and key performance indicators, aligning project objectives with strategic goals, and organizing tasks to meet these objectives.
- Support the development and maintenance of project plans and schedules.
- Track project progress and proactively identify and address risks and issues.
- Prepare and update project documentation, such as status reports, risk logs, and issue logs.
- Communicate project scope and status to stakeholders with regular updates.
- Organize and lead project meetings and workshops.
- Conduct project reviews and post-project evaluations.
- Support the implementation phase of projects.
- Assist with gathering and analyzing lessons learned, and disseminate findings.
- Help communicate the department’s objectives and key project achievements.
Requirements
- Experience in a project management role will be considered an asset.
- Strong understanding of project management principles and methodologies.
- Experience with project management software.
- Excellent communication and interpersonal skills.
- Highly organised and detail-oriented.
Education and Experience
- Previous experience in a similar role previously.
- A minimum of an MQF level 5.
