Our client, an international company within the Management, Inspection, and specialized Repair & Maintenance services, is looking to recruit a Project and Logistics Coordinator to join their growing team.
The chosen candidate will:
- Understand contractual terms and conditions, supporting compliance across projects.
- Manage project documentation and files, ensuring accurate daily updates.
- Review and process timesheets and expenses for site-based personnel.
- Produce and update project plans, and participate in progress meetings with internal teams and clients.
- Prepare weekly action plans and monthly progress reports.
- Review and address issues in Daily Progress Reports (DPRs), summarizing findings for the Project Manager.
- Coordinate pre- and post-mobilization briefings and lessons-learned meetings.
- Ensure complete work packs, equipment manifests, and documentation/certifications for allocated projects are provided as per project plans.
- Monitor project costs against approved budgets (CTR/PO) and raise variation orders as required.
- Work closely with Project Managers on WIP (Work In Progress) management to meet financial targets.
- Plan and allocate site-based personnel resources per project requirements and defined competency standards.
- Compile Operations Request Forms and liaise with clients for clarification.
- Arrange and track personnel documentation such as visas, work permits, medicals, and training.
- Organize travel, accommodation, and transport for site-based personnel.
- Maintain communication with clients for transportation and site access arrangements.
- Track personnel compliance with working time legislation and report potential issues.
- Ensure site-based personnel certifications are current and relevant.
- Negotiate technician rates and manage purchasing activities in coordination with the Regional General Manager.
- Support compliance with Company and Client QHSE policies.
- Assist with internal and external Quality Audits, ensuring project adherence to ISO 9001 (Quality), ISO 14001 (Environmental), and OHSAS 18001 (Health & Safety).
- Provide training and support to staff on procedures and best practices.
Requirements
- Strong technical and commercial acumen.
- Ability to manage multiple priorities in a fast-paced environment.
- Planning/organisational skills with the flexibility to respond to unexpected requests requiring delivery in short timescales.
Education and Experience
- Certification or training in project management methodologies.
- Excellent written and verbal communication skills.
- A minimum of 2 years’ experience working within a Project Management team covering both Project Coordination and Logistics, preferably some planning experience.
