Shipping Administrator

Role Purpose and Summary

Support the administration of logistics operations across the supply chain. Assist with the organization of all shipments, including non-secure shipments to and from internal sites and direct to customers. Ensure all shipments comply with local regulations. Collaborate with Procurement and material suppliers to monitor materials and components, providing necessary support to manufacturing and other support teams.

Responsibilities

• Assist in the receipt and secure handling of identified deliveries.
• Coordinate import/export of products on time, adhering to all security protocols.
• Manage and organize customer files, ensuring timely filing and archiving where necessary.
• Schedule and confirm shipments with authorized freight forwarders.
• Maintain and update standard operating procedures, ensuring documentation meets required standards.
• Prepare and provide data for periodic reports promptly.
• Collaborate with Procurement to ensure materials are available on-site as needed to meet manufacturing timelines.
• Track materials scheduled for on-site delivery to address any potential impacts on production schedules.
• Prepare call-off and call-forward documents as required.
• Complete all necessary customs entries.
• Compile shipping documents to meet schedule requirements, adhering to internal processes and legal obligations.
• Support Procurement, Planning, and Customer Support teams by providing shipping information to meet customer expectations.
• Provide coverage and assistance to other members of the customer service team as needed.
• Offer flexibility to address exceptional operational needs.
• Participate in all required meetings.
• Produce and deliver relevant daily, weekly, and monthly reports as requested.

Requirements

• Requires strong knowledge and familiarity of shipping processes through forwarders.
• Must be self-motivated, able to meet tight deadlines, and work effectively under pressure, both independently and within a team.
• Ability to write detailed reports and must have good decision-making skills within a defined framework.
• Demonstrates analytical and problem-solving skills.

Education and Experience

• Experience in a fast-paced production environment is beneficial.
• Effective communication skills to share routine information internally, with the group, and logistical partners.
